Position Title: HMIS Administrative / Communications Assistant
Compensation: $25 an hour

Status: Part-time (no benefits)
Location: Sites include, but are not limited to: MDC North, MDC Homestead, local high schools, etc.)
Work hours: Average of 5 hours a week. Flexible work schedule including some evenings and weekends.
Reports to: Head of Foster Care and Homeless Services


Information about Position: Homeless Management Information System
(HMIS) is a local information technology software system used to collect client-level data and data on housing and
services for individuals experiencing homelessness. The system is used by the Educate Tomorrow employees who work
on grants funded by the United States Department of Housing and Urban Development provided by the Miami Dade
Homeless Trust.

Under supervision, the HMIS administrative assistant will complete administrative duties to support the Youth Homeless
Helpline operations. The HMIS administrative assistants will, among other duties, enter data into HMIS following
established HMIS protocols and processes, create and store meeting agendas, and develop promotional, marketing
materials related to the Youth Helpline and related grants.
The assistant also will monitor and maintain lists of young adults experiencing homelessness in collaboration with the
coordinated entry leaders and staff and also support the youth coordinated entry “By Name” list meetings. Candidate
should be experienced using online shared information programs, including Google slides, sheets and documents and
Microsoft 365 software.

Job Requirements:

• Design or data entry experience
• Strong written and verbal communication skills
• Ability to accurately follow directions and maintain confidentiality
• Ability to effectively use communication software (i.e., Outlook, Gmail, etc.)
• Associate of Arts degree in design, public relations, social work, or related field
• Computer literacy skills (e.g., Microsoft 365, Google Office) Survey Monkey a plus. Duties to include, but not limited to:
• Enter data into Homeless Management Information System (HMIS).
• Provide administrative support for the Youth Coordinated Entry “By Name” list meetings.
• Proofread and edit reports and presentations about Youth Helpline work.
• Design and create promotional materials for Youth Helpline, HUD grants and related programs
• Design and create website for HUD-related work of Educate Tomorrow.
• Store, and distribute promotional materials about Youth Helpline.
• Create and maintain promotional materials and minutes for HUD-related convenings
• Maintain shared electronic filing systems (i.e., Google drive, Sharepoint, etc.)
• Maintain waiting lists and notify Youth Helpline staff about potential placements
• Assist Youth Helpline leaders to ensure projects HMIS documentation is up-to-date and complete.
